What ePatrol is
ePatrol is a digital platform for companies that carry out patrols, inspections and on-site services: fire safety, security, reception, maintenance. It records every patrol, attendance and report on the spot, and makes them verifiable in real time by the office and by the client.
It is made of a web console and an app for operators, available for iPhone and Android in six languages. Every point to be checked is identified by an NFC tag: the operator reads it with the phone and the system records the time, the position and who walked by. The app also works with no network and sends the data as soon as the signal returns.
The problem it solves: without a tool like this a missed patrol comes to light at the end of the month, when the client disputes the service, and the proof of the work done is a signed sheet. With ePatrol the office is alerted within seconds if a patrol is missed or a shift is left uncovered, and the client checks the evidence on its own through a restricted access.
Besides patrols it manages shifts and attendance, reports and maintenance followed through to closure, a service log, documents with read acknowledgement, staff qualifications with expiry dates, and reports in PDF and CSV. It is a subscription service with one licence per site and one per active user, and a 30-day free trial.

What it guarantees
- Every patrol can be proved point by point. NFC tags on every checkpoint, read with the phone. Evidence: time, position and operator of each reading; route on the map.
- A missed patrol is detected at once. Automatic alerts for patrols not carried out and skipped points. Evidence: alert log with opening and closing time.
- The site is always covered. Shift plan with clocking in and out from the phone. Evidence: planned shifts and hours actually worked, per person.
- Every fault is followed through to resolution. Reports with photo, assigned to maintenance and closed after verification. Evidence: history of each intervention, with closing times.
- The client checks on its own. Restricted access to its own sites only. Evidence: data available at any time, without asking for it.
- The service continues with no network. The app records on the phone and sends when the signal returns. Evidence: no reading lost, with the real time of each visit.
- Staff on site are qualified. Qualifications with expiry dates and renewal alerts. Evidence: folder of the qualifications of the site's staff.
- Handovers between shifts are tracked. Service log with notes, photos and urgency level. Evidence: handover history, available to the control room.
- Procedures and service orders are read. Documents per site with read acknowledgement. Evidence: log of who read each document, and when.
- Reporting is on time. Patrol, attendance and issue reports by period. Evidence: pDF and CSV reports, also sent automatically.
- Data is protected. Personal access, permissions per contract, two-step verification. Evidence: log of operations and of document readings.

Frequently asked questions
Does ePatrol integrate with ERP systems?
We have documented REST APIs to integrate attendance, billing and reports with SAP, Zucchetti, Odoo and other ERPs. Custom integrations can be quoted.
Can I receive reports by email?
Yes. Periodic reports (patrols, attendance, NCs, maintenance) can be scheduled for automatic daily, weekly or monthly delivery.
How does billing work?
The fee is monthly: (active sites × site price) + (active users × user price). A site or user registered enters billing from the next month; archived is billed until the end of the same month.
Are there setup fees?
It depends: for standard activations there are no fixed fees. For custom integrations or on-site training we prepare a dedicated quote.
Can I archive a site to save?
Yes. An archived site is no longer billed from the next month. Historical data remains accessible and you can reactivate at any time.
What is ePatrol?
ePatrol is an integrated platform to manage security patrols via NFC tags, issue monitoring, operator attendance, safety documents and maintenance. It's designed for hospitals, companies and critical infrastructures.
Which modules are included?
The license always includes all modules: NFC patrols, issue monitoring, attendance, maintainers, documents, reports, Mobile app for iPhone and Android, billing.
Does the app work offline?
Yes. NFC scans, issues and attendance are saved locally and synced as soon as the connection is back. No data is lost.
Which NFC tags are supported?
Any NDEF-compliant NFC tag (NTAG213/215/216, MIFARE Ultralight, etc.). Tags are registered with unique UID and associated with a specific zone.
Where is data stored?
On servers located in the European Union, in ISO 27001 certified data centers. Each customer has its own isolated logical tenant.
Is ePatrol GDPR-compliant?
Yes. We only process data necessary for service delivery, provide data processor appointment and DPIA on request.
How are accounts protected?
Bcrypt passwords, signed JWT sessions, login rate limiting, mandatory HTTPS. Optional 2FA is available for admin accounts.
Are reports legally valid?
Reports include timestamp, tag UID, GPS coordinates and ePatrol digital signature. They are suitable as internal documentation and for audits. For qualified legal value external qualified digital signature is required.
What support is included?
Email support with response within 24 working hours. For enterprise contracts we provide dedicated SLA with extended availability.
Do you provide operator training?
Yes. We deliver online sessions for admins and supervisors and, on request, on-site training for field operators.
Is it possible to import data from other systems?
Yes. We support CSV/Excel import of areas, zones, checkpoints and users. For complex migrations from other tools we agree a dedicated plan.
